The Modern Business Broker's Tech Stack
The four pillars
Every business brokerage we work with runs some version of these four pillars. The differences are in integration, not category.
1. CRM with deal-aware contacts
Generic CRMs (HubSpot, Salesforce) get you 60% there but force ugly workarounds for deal-specific roles (buyer vs seller vs co-broker) and lifecycle (Company → Lead → Listing → Closed).
What to look for: native concepts of deals, listings, and buyer pools — not just opportunities.
2. Deal room / data room
Dropbox folders work for a 2-buyer deal. They do not work when you have 30 NDA-signed buyers, 5 of them at Tier 3, and a partner who needs to see who downloaded what last week.
What to look for: per-buyer access tiers, audit log of every view and download, stage-gate enforcement.
3. E-signature with NDA workflow
DocuSign and Dropbox Sign both work. The question is whether your deal room kicks off the signature request automatically when a buyer requests access — and tracks signed vs pending in the same view as the buyer pool.
4. Valuation & teaser generation
The best firms standardize teaser and CIM templates so every engagement starts from a polished baseline. Increasingly this includes AI-assisted first drafts.
Where the stack breaks
Integration. A buyer signs an NDA in DocuSign — does your deal room know? A new engagement is signed — does the deal room get a templated checklist? Most stacks require manual copy-paste between pillars 1–4.
That is the gap DealPros is built around: one workspace where CRM, deal room, e-signature, and templates share state.
Migration tips
- Move one engagement at a time, not all of them at once
- Keep your legacy CRM as the source of truth for 30 days, then cut over
- Train junior staff on the new stack first — they will surface gaps faster than partners
